Attendance/ Call to Order/ Approval of Minutes
- Meeting
was called to order at 6:05 pm.
- Previous
Minutes for November 19, 2003 – To be approved off line.
Advisory Committee
Report
- No
Updates. The role of the
Advisory committee will be revisited. The
committee will need to take on a more active role for the committees if
there are no other volunteers. To
be discussed at the next meeting.
- Board
is interested in knowing if Antonio might be interested in possibly doing
some of the landscaping/ shoveling work.
Fee and insurance would need to be looked into.
Will discuss more next meeting.
Treasurer’s Report
- Snow
removal bill for 2 events $450 was paid.
- Budgets
were provided to all homeowners by mail.
Assessment fees will be sent out in January as well.
Management Company
report
- Legal
review – need an update from CCR at the next meeting.
Architectural
Committee Report
- A
number of homes did not clear their sidewalks within 48 hours during at
least one of the snow/ice events over the past two weeks.
Since this was an issue the homeowners expressed an interest in the
board enforcing at the annual meeting and the October open meeting, Lynley
will get a list of the homes and CCR will send reminder letters stating that
the next time they fail to clear their sidewalk with 48 hours they will be
fined.
- Several
homes consistently leave trashcans in front to the house or on the side
still visible from the street. A
list will be sent to CCR to send reminders again letting them know if it
continues they can be fined.
- The
original intent of swing sets was to have them behind the house.
For houses that have swing sets on side yard (with little back yard
that have no other houses adjoining the property), in order to maintain the
aesthetics of the property, they will be asked to move them behind the front
line of the garage. The
homeowner responded they did not have enough back yard to move the swing
set. The board would like
another letter sent requesting that it be moved behind the front line of the
garage.
- To
date there have been no volunteers for the ARC Chairperson.
The board will continue to operate with the ARC for approvals.
- A
hearing was held in December regarding the request for a side door awning.
The board requested and reviewed the pictures and warranty.
Since the Rules and Regulations were in process long before this
request came in (even though it was not finalized until later in 2003), the
board would like to let the community know at the annual meeting that we are
thinking of allowing awnings over side or back doors and would be amending
the rules and regulations to reflect this.
CCR to send a letter to the homeowner explaining this.
- Homeowners
who have installed fences in front of the back line of the house were asked
to fix the fence. To date one
responded with a submission that does not reflect the actual situation. The other did not respond in writing, but did call.
CCR to follow-up on these with letters requesting compliance to our
request by a certain date or acknowledge when they can comply.
If they fail to do so they will then be subject to fines.
- The
owner for Junk Monkey advertises using their home address.
This is a violation of the covenants that a residence cannot be used
for a business. We understand
that this is a business run out of the home.
Clients are not coming to the home. CCR to send a letter requesting that they cease using
their home address in the ads.
New Business
- Entry
lights – the photocells were bad and took time to diagnose and fix.
- Annual
Meeting – the meeting will be arranged for the end of March.
CCR to be contacted with possible dates.
- A
letter was sent out with the budgets asking again for volunteers to form a
landscaping, insurance and contracts committee. To date no interest.
Next meetings:
February 18 – Board, CCR, ARC, and Advisory members –
Lynley Thinnes’ home
March – Annual meeting, date to be determined.
